There’s nothing worse than planning out your budget and later finding out you have a bunch of additional hidden costs. Even when they are small fees, they add up. Plus, nobody likes surprises unless they are good ones!
Today on the blog we are sharing seven hidden fees to be aware of when booking your venue and catering/rental companies. We touch on the most common hidden fees that our clients have experienced. Also, we grouped together catering and rentals because nine times out of ten, catering handles the rental order.
1. Trash fee
At the end of the evening your trash must go! But who’s going to handle that? Usually venues require that you or your caterer remove all trash at the end of your event. If your caterer takes care of this there is often an additional fee because they can not load the trash in the same trucks as the food, so it’s important to ask your caterer to see how they handle this. This is not always the case though, some catering companies include this in their delivery fee.
2. Rental order
There is usually an additional fee to have your catering company handle all your rentals. 99% of our clients have catering handle their rental order. The pros to this are that it’s less work for you and catering knows the rental company as well as their inventory making the process a whole lot easier for them to handle. With catering handling rentals it means less people are involved in this process, streamlining this element. The con is a possible the additional fee. If the fee is too high to take on, try to save in another area because handling all your rentals is logistically more challenging than you think.
3. Chiavari + cross back chair rental
If you are set on chiavari or cross back chairs, you may have an additional delivery and pick up fee separate from your normal rental delivery charge. This is because these chairs do not stack like folding chairs stack, meaning you can only fit so many per truck. This all depends on the size of your wedding and how many chairs you need.
4. Vendor meals
Don’t forget to include your vendors into your final guest count as they need fed too! We find that most couples forget this little detail. This cost will vary based on what you feed your vendors (a box meal or the same meal your guests get). Also, check your vendor contracts! Some vendors specifically require a ‘hot meal’, meaning they require the same meal your guests get vs a boxed meal. Another item to consider when adding your vendor count to your guest list is making sure none of your vendors have any serious food allergies or are pregnant as this may alter their meals (and possibly pricing).
5. Corkage fee + cake cutting fee
Sometimes you will have corkage fees and a cake cutting fee included in your catering invoice, but this may be difficult to notice because it is often times grouped in with other expense categories. A good way to find out is to simply ask if they charge for these items and what that looks like.
6. Rental delivery + pick up
There is usually an additional fee to have the rental company deliver and pick up your rentals in the same day. Most venues require all rentals be removed from the venue the night of the event. However, some may be flexible and allow you to leave items overnight for an additional fee. So if you aren’t paying the additional same day pick up fee, you may be paying an additional fee at the venue to leave the rentals overnight.
7. Rental load in/out
Sometimes we will see rental companies charge extra if the load in/out location at your venue is complex. For example, if they have to unload up various flights of stairs with no access to an elevator. This may increase their staff for delivery or the timeframe would increase having to pay their employees for a longer amount of time. This is where the extra fee comes in.
